Thesaurus Information Classification

This "report" introduces a way to classify fragmented information of l'Avenir d'Auroville. It may be useful in organizing other data in Auroville as well.

Introduction

L'Avenir d'Auroville has to manage to lot of different kind of information (population age, number of water pump, number of children in Crèches, …). In this way, information doesn't have a well-done structure. That is the most important part because it can be difficult to capture this information. Then information can be very closed with a geographic aspect. On the picture above, you can see that all information which have a link with a geographic aspect has to be put inside the geographic information system (GIS). For instance, the electricity consumption of an infrastructure, the owner of a land and all these kind of information are very closed with a geographic aspect.
        Then there are also document (study, survey) which contains a lot of information but they are still documents. In this way, they can be put inside a document management system (currently called Knowledge Tree for l'Avenir d'Auroville).
There are also information relative for project or programs. These information permits to fallow the project on each step of the project:

  • design
  • planning
  • execution and development
  • control
  • quality check
  • monitoring

On a project there are also budget, finance aspect, deadline of each task and sub-task of this project. There are also people in charge of each step. There are also specific feed back of this project. All of this information about a project should be tracked.

          Other kind of information are knowledge, know-how, process which exist in every organization. This part is very specific about Knowledge Management and has another specific report. A method called MKSM or MASK has been applied for l'Avenir d'Auroville in order to extract main knowledge of the organization.

         Then there is another very important point about information is that information which doesn't have a geographic link. This information need to be captured. On the picture below, you can see a general organization of l'Avenir d'Auroville with different part:
-the input of the organization (creation)
-the output of the organization (the final result)
-operating system (building application, study)
-information system (all the different source of information)
-decision system (people, agents which make decision)
-knowledge system (knowledge which permit to the operating system, information system and the decision system to work)
This diagram reflects the amazing source of information that L'Avenir d'Auroville has to manage. Moreover, It's not exhaustive. As we say before, information without a geographical link has to be shared and capturated. In this way, we are going to present in this documnent how this kind of information can be capturated. A thesaurus of the activities of L'Avenir d'Auroville has been created. It's not exhaustive but it's enougth to start to capture these information.
The previous diagram show that there are four main source of intellectual creation of l'Avenir d'Auroville:

          We explain the use of the first two target of information. The thesaurus information system is a system which permit to deploy the thesaurus and to add an information attached to a part of this thesaurus. This system can be a content management system (a wiki for instance) or it can be integrated inside the Document Management System with a specific hierarchical structure. The wiki can be use to capture:
-Project information as we have said before in a Project section (proposals, design, plannification, execution, development, monitoring, quality check, main task, deadline, person in charge, advancement, feed back ...)
-Knowledge in Knowledge book section (main process, activity, phenomenon, concept of L'Avenir)

        This report describe the capturation of information which doesn't have a specific geographic link (socio-economic information, general information, …). We are going to present what is an information. Then, we will explain the general classification of information and after the detail thesaurus. To finish, we will explain what kind of system can be used to capture these kind of information and then how to put and find information with this kind of system.

Quality of information
This is very important that the person who put the information that he associates a quality of the information. That's means that next people know how to use this information or if they need to find the effective information. For instance, imagine that someone say that 3000 tourists come at Auroville today. But he says it because he counts 1000 cars and he thinks that there is approximatively 3 persons by car.
Source name
This is the service and the person who give this information.
Process of getting the information
This is very important to explain the result of information. In the Quality of information section we describe an example of the process to get the information.
Description
This is the description of the information.
Values and units
This is the effective information if it doesn't be written in the description section.

Every document which can have a link with the information can be put here.

Information from documents

There are information that come inside l'Avenir d'Auroville spontaneously. These information can be capturated and dirrecly put inside the system (thesaurus information system, geographic information system or document management system). One point which can put in ligth is just the fact that generaly all the information are inside reports. It's a very difficult task to extract these information but it's important to describe the process. The picture below describe that a document contains information. The first thing is to classify information. Some information are caracteristics of the Auroville population (very general) and other are the need of the population (protection or development). From these information, the user has to wonder if this information has a geographic link or not (put in the GIS or inside the other system). Knowledge, know-how can be also be extracted from document which can be put inside the wiki in the Knowledge Book section

Creating a Thesaurus of Information

We have describe an information which has to have a cateogy. In this way, information need to be classify inside a structure which is called a thesaurus. This thesaurus need to be the most exhaustive as possible. It permits for users to direclty know where to put the information. We are going to see how is the main classitication of the information and in a second part the exhaustive Thesaurus.

All the information haven't a specific link with a geographic aspect. In this case, this information has to be put inside the Geographic Information System (GIS).
The structure has to be easily understandable for people in order that they can put information inside this structure. The first classification is to know is it a caracteristic or a need? Then the user has to know is the information is related to Physical and body OR Socio-economic and mind OR soul? This classification is very closed with how human being is seen at Auroville. It show the physical, mental and soul aspect which can be generalized to a town. Physical and body is very closed with basic need (Agriculture and Farming, Architecture and urban design, Climatic, weather and polution, Energy, Food, Forest and Land Regeneration, Geophysical monitoring networks, Housing, Industry, Integrated Communication and technology, Land – Landscaping/Landshaping, Mobility, Population, Resource, Security, Solid Waste, Village and other different scale region specific information, Water). All these categories are very general. The thesaurus describes in detail each point.

To finish the soul aspect is a more developed aspect of information like information about meditation for instance.

The first point of classification of the information is very important also. The user has to wonder if the information is a caracteristic (very static information or closed with the present) OR if it is a need which is more close with a projection of the future on the present. The diagram below show this reality.

Another main point of classification inside the need is if the need is closed with a protection or development. Then under these main categories there are all the specific categories just listed before and then the detail is givin inside the next section.

Knowledge Tree or wiki integration of the thesaurus

The technical part of the project is also very important. The problematic is where to integrate the thesaurus? Two possibilities are possible:
-A wiki with a specific section for information. In this section, there are all the categories of the thesaurus. In some categories, information will be there and editable online.
-Create a specific folder for the information inside the document management system Knowledge tree. Then for each category of the thesaurus, a folder can be created. Then, in order to add a piece of information, the knowledge user has to create a specific file for the information from a blank information file. He fills the field for the information and put this file inside the structure.
Each system has advantages and disadvantages. The wiki is a very common tool and the information can be edit online direcly (it's taken less time than to create a file for each piece of information). The problem is that, the hierarchical structure of the thesaurus is more difficult to implement with the wiki in comparison with Knowledge Tree. In fact, Knowledge Tree implements very well a hierarchical structure. Then, it's easiest for knowledge user to fill a blank file (with specific field) to create a piece of information in comparison than using template of Mediawiki or other wiki. In this way, we will try to implement the information categorization inside Knowledge Tree in a first step.

Using the system

There are three points inside this section: which information to put inside the system? Then, How to add a piece of information? And to finish, how to find an information?

Which information can be put inside the system?


First, we have to know what kind of information has to be put inside this system. The picture just below show the question that the user has to wonder in order to know if he puts the information in the good system:KindOfInformation.png

In fact, the piece of information has to be a piece of information (not a document direcly). Then this information need to not have a specific geographic link (in other case, it has to go to the Geographic Information System). To finish, the information need to have no link specifi link with a project (like a task of a project, the person in charge, the cost of this part of the project, deadline...). Only in this case, the information can be put inside this system.

Adding information

In order that the user add a piece of information inside the system, he has to wonder about some questions.

First, the information has to be a information which respect the point “Which information can be put inside the system”. If the information can be put inside the system, the user has to know if the information is a caracteristic or a need (already speak about it before), if the information has a physical/body OR socio-economic/mind/people OR soul aspect. For instance, energy or water are very closed with physical and body but education and culture are very closed with a socio-economic aspect. Then, if the information is a need, the user has to wonder if it is closed with development or protection. It's only at this step that the user can start to find the appropriated associated category (water, energy, education, school, …). If the last category isn't appropriated, the user has to create an appropriated sub-category. For instance, image that the last category is “population of guest” and the information is “the number of guest who make volonteer service in the primary sector of activity is 23”. The user has to create one first sub-category called “number of guest who make volonteer service”. Inside this category, the user has to create a sub-category called “By sector of activity”. Then, inside this one, another category will be created: “For the primary sector of activity”. Only at this step, the user can add this information. In order to add the information, the user has to create an information from the blank information file and fill the different fields (date, name, source, quality of the information, the information itself...) and put this document inside the system.
The user has to structurate very well the category of the information and think if another category can be created closed with the specific information. In the example, we think that the number of guest can be classified by the kind of activity that they do but also if they do activity or not.
In order to find a piece of information, it's look like if you add one with some little difference.

How to find a piece of information?


It's realy close the way of looking for a piece of information with the way of putting a piece of information. The difference, is when you find the appropriate category and the information isn't here. That's mean that perhaps the information isn't inside the system or that the user hasn't find it. It can try to find the information by key word.

The strategy to use the system

The main think is that EVERY ONE has to participate of the process of sharing information (it's works also for the Document Management System). As we have said before, most of the information are inside the document. Users can read document and put slowly by slowly information inside the system but it's not the good way because it requiered to much time. Another way of using the system is to:
-when a knowledge user get/find/create a NEW piece of information he puts this information inside the system
-when a knowledge user has to find an old piece of information for his work (what ever the source or document), he puts this information inside the system.

In this way of working, the process is a day to day use and it permits to share information with everyone. The user know if the information exists. Then, with the date, source and process of getting the information, the knowledge user can find the new appropriared piece of information because he things that this information has to be updated.

Conclusion

This report show a way to capturate information which aren't shared with people and centralized inside a system rigth now. Most information finish inside report, survey, study but their later access become difficult. People can forget their existence. People who don't know that previous work has been done about somethink, do again some work in order to find again the same information. A lot of mistake like that happen because nothing is shared with each other. This report shows a way to solve this problem and purpose a system which can permits to start right now this sharing. That's mean that people need to be educated in order to start to use this system. The diagram just above show the current situation right now and how it can become an integrated information and document sharing with each other. It is a work of each one to put inside the system each new report/study/survey inside the system. When someone find a piece of information or a piece of information comes to him, it is his work to put and share with people. Slowly by slowing and integrated information and document sharing system will be created. It will help eveyone by saving time espetially interns and new people.
