This article introduces the concept of knowledge management. The MKSM method will be introduced and also an example about L'Avenir d'Auroville (by Fabien Menou).

A short definition of knowledge management is the way that soft knowledge become hard knowledge and it can becomes sharable between people. Soft knowledge are most of the time in the head of people and it's a kind of knowledge very difficult to explain on a present time. It is inside the culture of people.
The knowledge management approch for l'Avenir d'Auroville need collaborative tools in order to capture knowledge but also to use a method in order to structure the extraction of knowledge. Collaborative tools permits to capture for instance knowledge from projects. Information, knowledge become in ligth of its context. In order to design the organization and its knowledge the method called MKSM or MASK will be used in order to extract these knowledge. In this way, knowledge from people's head, routine work or inside the culture can be extract as hard knowledge. It formalizes knowledge of people in order to be understandable by other people and shareable

Knowledge management for l'Avenir d'Auroville

     The aim of this page is to start a knowledge management process for l'Avenir d'Auroville. It puts in ligth some main knowledge of the organization. It also design a global vision of the organization of l'Avenir d'Auroville and how it works. This study will also shows process or knowledge problems of the organization which has to be managed better.
In order to start a knowledge management process with much more organization, the method called MKSM (the last version of the method is called MASK) will be used. It structurates the process in order to maximize the knowledge capturation of l'Avenir d'Auroville. We will introduce the MKSM method, the objectives, the process to do the knowledge management and then the knowledge book.

Objectives

One of the important part of knowledge management is to know the aim and the vision of this project. In this way we will explain some objectives of the project:

-To share knowlegde with intern/volonteer (who don't stay so much time with people and to improve the speed of understanding the organization and its processes)
-To understand of the organization in the way of putting in like some interesting project to do/design in the future
-Analysis of data (information and knowledge, and their current support) and its exchange
-To share with worker of the L'Avenir d'Auroville team
-To improve/promote the work/knwoledge of L'Avenir d'Auroville
-To give rise of a lack of competence
-To make more communication about the activities of l'Avenir d'Auroville

All these points are quite general but this is the project by itself which will put in ligth what is interesting to do and to explore in details.

Process

In order to make a knowledge management, a kind of general has been done. Interviews of people, reading existing main documents are for instance very important to make a knowledge design. We have seen the different main models which describes knowledge. In order to have models and structure of knowledge, the process need information.
This project of knowledge management is a very long process. It takes a lot of time. All the phenomenons and processes cannot be explained and study in details. That's why this knowledge management process tries to show a macroscopic view of the organization but also to give a structure to knowledge. The aim is to discover a general structure of knowledge for l'Avenir d'Auroville and to discover important project which can be done in the future. It permits also to discover some problem inside the organization.

1- Interview of the staff of l'Avenir d'Auroville has been done in order to understand generally their work, how do they manage information/document. The area of these interviws are very closed with Document Management System of the first part of the internship. In any case, these interviews takes a lot of times to happen and the reports have a lot of knowledge about the processes/work/concept of l'Avenir d'Auroville.

2- Reading and analysis the Master Plan (official document which has different version on hard format but also a old version online) which describes the main lines of the development of the city. From these analysis the OIDC model has been started. This model shows a general view of the organization. In this way, this model has been modified a lot of time. This model permit to list agents, information sources, phenomenons, activities for instance. At the same time, the concept model has been started in order to list concept of Auroville. Mind mapping has been used to explain these concepts (the software Xmind has been used). During this reading, questions/wondering has been put in ligth. These questions has been listed by subject and for the person who can answer the better to this question. The answer of these questions permit to update the diagram.

3- The is an official website for the Auroville Foundation. This website contains a lot of information about the official groups connected with the Government of India. From this reading, the OIDC model and the Concept model of l'Avenir d'Auroville has been updated. During this reading, questions/wondering has been put in ligth. These questions has been listed by subject and for the person who can answer the better to this question. The answer of these questions permit to update the diagram.

4- Then, the website of Auroville and its wiki contains a lot of information about how Auroville works, its groups, their usefulness. From this reading, the OIDC model and the Concept model of l'Avenir d'Auroville has been updated. During this reading, questions/wondering has been put in ligth. These questions has been listed by subject and for the person who can answer the better to this question. The answer of these questions permit to update the diagram.

5- L'Avenir d'Auroville has also a website which contains a lot of information about previous study, its work. From this reading, the OIDC model and the Concept model of l'Avenir d'Auroville has been updated. During this reading, questions/wondering has been put in ligth. These questions has been listed by subject and for the person who can answer the better to this question. The answer of these questions permit to update the diagram.

6- Then from the previous interviews, reports has been done. From these reports the OIDC model and the concept model have been updated. Then some phenomenons and activities diagrams have been also done. More questions have been asked to people in order to fill models.

7- To improve the structure and the layout of knowledge models. The first model which has a better layout is the OIDC model. This one really permits to have the macroscopic view of l'Avenir d'Auroville at this step of the project. The second model which need more structuration is the Concept model. Then all the agent of the organization has to be explain/describe in a well layout.

8- From this step, there is a structure of phenomenons and activities. It's important important at this step to get more information about some phenomenons and activities. In this way, some interviews can be done in order to have more information. From these information phenomenons and activities models can be done.

9-Improve the general layout of the knowledge book.

10- One of the aim of knowledge large butt plug  management with MKSM is that it puts in ligth some interesting projects of the organization. It's important to take times to these project and study them. At the beginning of the project, we don't know the content of this step. In any case, it's important to take times to wonder about some specific project which has been discovered during the knowledge management process

11- To publish the knowledge book in a document (static) but also in a collaborative area which can be a wiki. In this way, some specific template/models has to be developed in order to publish the knowledge book.

Now from this process of knowledge management, we are going to describe the knowledge book of l'Avenir d'Auroville.
